As the Executive Assistant you will play a crucial role in ensuring the smooth operation of the office. You will be responsible for providing comprehensive executive administrative support to our senior leadership team, managing calendars, coordinating meetings, and handling confidential information with the utmost discretion. The ideal candidate will be a proactive and resourceful professional with excellent organisational and communication skills.

  • Diary Management - Efficiently manage and coordinate executive calendars, ensuring optimal use of time and prioritizing appointments and meetings.
  • Schedule internal and external meetings, coordinate logistics, and prepare necessary materials.
  • Serve as a primary point of contact for internal and external communications on behalf of the executives.
  • Draft, proofread, and edit correspondence, presentations, and other documents as needed.
  • Meeting Coordination:
  • Plan and organise meetings, including agenda preparation, venue coordination, and technology setup.
  • Record meeting minutes and follow up on action items to ensure timely completion.
  • Coordinate travel arrangements, including flights, accommodations, and ground transportation for executives.
  • Prepare detailed itineraries and travel packs to ensure smooth business trips.
  • Organise and maintain electronic and hard-copy files, ensuring accessibility and confidentiality of sensitive information.
  • Assist in the preparation of reports, presentations, and other documentation as required.
  • Support executives in special projects, research assignments, and other tasks as needed.
  • Conduct market research and compile relevant data for decision-making processes.
